The Opportunity
As Executive Assistant, you will play a key role in supporting the Executive Director and Board through proactive administrative coordination, clear communication, and thoughtful planning. You thrive in a fast-paced, mission-driven environment, and you anticipate needs before they arise. You bring sound judgment, discretion, and initiative to everything you do, helping to keep priorities on track and operations running smoothly. This role is ideal for someone who thrives on keeping things running smoothly and takes pride in staying one step ahead.
Key Responsibilities
Be the right hand to the Executive Director. Coordinate strategic priorities, manage complex scheduling and travel, and provide seamless day-to-day support for leadership activities and initiatives.
Lead Board and Committee administration, from preparing agendas and meeting materials to capturing minutes, tracking action items, and organizing retreats, annual meetings, and onboarding.
Craft polished communications by drafting and proofreading correspondence, reports, and presentations, while managing confidential records and compliance requirements.
Orchestrate memorable meetings and events, handling all logistics, expense reporting, and project coordination with precision and creativity.
Keep priorities moving forward by tracking key deadlines, deliverables, and workflows, ensuring nothing falls through the cracks.
Build strong connections with internal teams, donors, and external partners, serving as a trusted liaison who fosters positive and productive relationships.
Contribute to a vibrant workplace culture by supporting internal events, cultural initiatives, and collaborative projects, and maintaining organized office systems.
